  1. General Terms of Use
  • 1 Scope of Application

(1) These General Terms and Conditions govern the conditions for participation in the event “34th IPMA World Congress Berlin 2025” (hereinafter referred to as the “Event”) organized by GPM Deutsche Gesellschaft für Projektmanagement e. V. (hereinafter referred to as “GPM”).
(2) “Customer” refers to the person or organization in whose name and on whose behalf the registration for participation is made.
(3) By registering, the Customer and the registered participant acknowledge these General Terms and Conditions of the Event. If the Customer is not the registered participant, the Customer ensures that the registered participant consents to all conditions listed herein, especially §§ 7, 9, 10, and 11. This also applies to replacement participants sent on short notice.
(4) The General Terms and Conditions apply in the version current at the time of contract conclusion. GPM provides services exclusively under the following conditions. Contradictory business or other terms of the Customer are not recognized by GPM.

  • 2 Conclusion of Contract

(1) The presentation of the Event does not constitute an offer as defined by §§ 145 ff BGB but is an invitation to submit a non-binding registration for the Event (hereinafter referred to as “Customer”).
(2) By submitting a registration via the Event's online registration system, the Customer makes a binding offer to conclude a contract with GPM. The Customer receives a confirmation of receipt by email, listing the registration details, subject to cancellation of the Event. This confirmation does not constitute acceptance of the offer but merely acknowledges receipt of the registration.
(3) Acceptance – and thus the immediate conclusion of the contract between GPM and the Customer – is effected by issuing the invoice for the participation fee, with collection handled by m:con m:con-mannheim GmbH (hereinafter referred to as “m:con”) on behalf of GPM.
(4) GPM reserves the right to hold the Event as an online event if an in-person event cannot be guaranteed due to:
a) official prohibitions,
b) force majeure,
c) existing infection or other risks for participants, or
d) objective reasons not attributable to GPM.
Customers are not entitled to withdraw from the contract in such cases.

  • 3 Registration/Cancellation Terms

(1) Registrations are exclusively possible online and subject to availability.
(2) With the registration confirmation, the participant is officially registered for the Event.
(3) For events with a limited number of participants, registrations will be processed in the order in which they are received.
(4) If a ticket is canceled no later than 14 days before the first booked event day, a cancellation fee of 50% of the booked price will apply. For cancellations after this deadline or no-shows without prior notice, the full ticket price will be charged.
(5) A cancellation is only valid if it is submitted in writing to m:con on behalf of GPM. A substitute participant may attend on behalf of the registered participant. 

  • 4 Scope of Services

(1) The full participation fee for the Event includes participation in the two-day congress on September 18 and 19, 2025, lunch and two coffee breaks per day, participation in the Welcome Reception the evening before, and the Networking Dinner between the two event days.

  • 5 Conditions of Participation

(1) If official regulations (particularly under the German Infection Protection Act) apply at the time of the Event, the Event will be conducted in compliance with the specific regulations in effect at that location. (2) If required, wearing a medical mask covering the mouth and nose will be mandatory if the necessary minimum distance cannot be maintained due to the final number of participants.
(3) If required, participants must present timely proof of vaccination, recovery, or a negative test to hotel staff and GPM personnel. Failure to provide such proof, if required, will result in denial of admission to the Event.
(4) Exclusion from the Event due to intentional or unintentional non-compliance with the requirements outlined in § 5 (1-3) does not entitle the participant to a free cancellation of the Event attendance.

  • 6 Price, Due Date, Payment, Payment Default

(1) Event prices consist of a participation fee and a catering flat rate. Prices are gross amounts, as the catering flat rates are subject to tax.
(2) Participation fees, including early bird prices, are listed in the “Prices” section at https://www.worldcongress-ipma.com.
(3) To qualify for the early bird price, the Event registration must be received by June 25, 2025, at 11:59 PM, and all resulting payments must be made on time.
(4) The participation fee becomes due upon invoicing, subject to § 6 (1), and must be paid in full within 14 days without deduction. m:con, acting on behalf of GPM, reserves the right to invoice participation fees before the Event. Discounts are not granted.

(5) m.con, on behalf of GPM, reserves the right to demand advance payment of the participation fee, particularly in cases where unpaid invoices are already in the dunning process at the time of registration. (6) Information required for invoicing (e.g., address, cost centers, notes, order numbers) must be provided correctly to m:con on behalf of GPM. m:con, acting for GPM, is entitled to charge a non-taxable processing fee of €20.00 (0% VAT) for subsequent invoice changes.
(7) The Customer may only offset claims if their counterclaims are legally established, undisputed, or recognized by GPM.
(8) The Customer will be in default if full payment is not made within 14 days of the due date.

  • 7 Participant Behavior

(1) Participants agree to conduct themselves respectfully, politely, and considerately toward other participants, organizers, and all other persons involved in the Event. Discrimination, harassment, threats, or any other inappropriate behavior is prohibited and may lead to exclusion from the Event.
(2) GPM reserves the right to take appropriate action in cases of violations of these behavior rules, including requesting the participant to leave the Event without entitlement to a refund.

  • 8 Conditions for Discounted Participation Fees

(1) To qualify for a reduced participation fee (e.g., due to membership in GPM, IPMA, PMA, or SPM), the Customer must provide the relevant proof promptly, but no later than 14 days after booking.
(2) If such proof is not provided, m:con, on behalf of GPM, is entitled to invoice the additional amount.

  • 9 Participant Lists

Participants will be provided with a participant list containing titles, first names, surnames, and company names. The registration process includes a corresponding query. Objections may also be submitted later via a written declaration to m:con up to 21 days before the Event.

  • 10 Film, Image, Word, and Audio Recordings

(1) By registering, participants agree that film, image, word, and audio recordings of them may be made during the Event.
(2) Participants further agree that these recordings may be used by GPM or commissioned parties, in compliance with all legal requirements, without limitation and without compensation. This includes publication in digital form, printed materials, and social media channels.

  • 11 Copyright

(1) All presentations, materials, and content provided during the Event are subject to copyright protection.
(2) Any unauthorized reproduction, distribution, or use of these materials is prohibited and will be prosecuted under the law.

  • 12 Liability

(1) Should the Event not take place due to insufficient participants or for significant or unforeseen reasons, GPM assumes no obligations. Participation fees already paid will be refunded in full. GPM’s liability as the organizer is limited to the participation fee. Any further claims, such as for accommodation or travel costs, are excluded.
(2) In cases of slight negligence, GPM is only liable for breaches of essential contractual obligations (cardinal duties) and only for damages that are typical and reasonably foreseeable. Liability for personal injury remains unaffected.
(3) There is no entitlement to participate in a free-of-charge event. Participation numbers may be limited, for instance, due to venue capacity constraints.
(4) GPM is not liable for the absence of announced speakers, nor does this give the Customer the right to withdraw or claim damages of any kind. GPM will make efforts to provide adequate substitutes.
(5) Claims for damages related to errors, omissions, or incomplete publications in print materials or on the Event’s website are excluded.

  • 13 Personal Liability

(1) GPM is not liable for damages, losses, or injuries incurred by participants during the Event.
(2) Participants are responsible for taking appropriate precautions and arranging personal insurance for potential risks.

  • 14 Orders from Consumers

(1) Consumers as defined by § 13 BGB are natural persons. Entrepreneurs as defined by § 14 BGB are not included.
(2) Consumers as defined above may withdraw from their registration within 14 days from the date of contract conclusion without providing a reason by submitting a clear written statement. Timely submission of the withdrawal to m:con is sufficient to meet the deadline.
(3) In the event of a valid withdrawal, m:con will refund any payments already made. Refunds to the Customer will be issued within 30 days, starting from the submission of the withdrawal notice. For m:con the period begins upon receipt of the withdrawal notice.

  • 15 Data Protection

(1) By registering, participants consent to the collection and storage of their personal data in accordance with data protection laws. Further details are available in the data protection policy on the GPM website: https://www.gpm-ipma.de/utilities/impressum_datenschutz.html.

  • 16 Consent to Data Sharing

Participants’ personal data will be collected and processed by m:con for the purpose of organizing the Event. Additionally, GPM reserves the right to use these data to inform participants about similar events or offers. Participants may object to this extended use at any time by notifying the contact address provided in the Event materials.

  • 17 Retention and Deletion of Data

After the Event concludes, all personal data of participants held by m:con will be deleted unless longer retention is required by law.

  • 18 Precedence of the German Version

(1) These General Terms and Conditions are also available in German.

(2) In case of discrepancies between the German and English versions of these General Terms and Conditions, only the German version shall be binding and authoritative.

  • 19 Place of Fulfillment, Jurisdiction, Governing Law

(1) The place of fulfillment for all contractual services is Nuremberg. For business customers, the agreed place of jurisdiction is Nuremberg.
(2) All disputes arising from or in connection with this contract are governed exclusively by German law. The application of international private law is excluded.

  • 20 Final Provisions

(1) If individual provisions of this agreement are wholly or partially invalid or if the agreement contains gaps, the validity of the remaining provisions shall not be affected. The invalid or missing provision shall be replaced by one that most closely reflects the intent of the parties.

  1. Supplementary Terms of Use

Right of Withdrawal

Consumers have a right of withdrawal under the following conditions, where a consumer is any natural person who enters into a legal transaction for purposes that are predominantly outside their trade, business, or profession. Entrepreneurs as defined by § 14 BGB are excluded.

Withdrawal Policy

(1) You have the right to withdraw from this contract within 14 days from the date of contract conclusion without providing any reason. To meet the withdrawal deadline, it is sufficient to send the withdrawal notice to m:con in writing before the deadline expires.
(2) To exercise your right of withdrawal, you must notify m:con of your decision to withdraw from this contract by submitting a clear written statement (e.g., a letter sent by post, fax, or email). You may use the attached sample withdrawal form, but this is not mandatory.

Consequences of Withdrawal

(1) If you withdraw from this contract, m:con will reimburse all payments received from you without undue delay and no later than 30 days from the day the withdrawal notice is received.

(2) Refunds will be made using the same payment method used for the original transaction unless explicitly agreed otherwise. Under no circumstances will you incur fees for such reimbursements.
(3) Refunds to Customers must be processed within 30 days from the submission of the withdrawal notice. For m:con this 30-day period begins upon receipt of the withdrawal notice.
